Assign access to Custom Catalogues at Customer or User levels.


In Customer Self ServiceOn your website, access to Custom Catalogues can be configured in one of two waysat

  1. Customer Level  - ALL users attached to a Customer Code can be granted access to a catalogue by making the catalogue their their default
  2. User Level - Custom catalogue access can be configured on a user-by-user basis. This is useful where when there are multiple users are attached to for a Customer Code , but only some require access to the custom catalogueaccess is restricted on a user-by-user basis


Step-by-step guides 

To Assign assign a Catalogue catalogue at the Customer Level: 

  1. Login as an Administrator.
  2. Navigate to 'Accounts' --> 'Customer Maintenance'As Website Administrator, go to Accounts → Customer Maintenance (/CustomerMaintenance.aspx?mode=admin).

  3. Search for the required Customer Code.

  4. Select the record via radio button.

  5. Click the 'the Catalogues' tab.
    Click '
  6. Click New'.

  7. Select the required catalogue from the drop-down dropdown list.

  8. Tick the 'the Default' flag.
    • This ensures ALL users attached to the Customer Code have access to the catalogue, and will automatically view this catalogue upon login.

  9. Click OK' to save.

Warning

Attaching a Catalogue to a Customer Code will not grant all users access unless the 'Default' flag is set to Yes.


To Assign assign a Catalogue at the User Level:

  1. Login as an Administrator.
  2. Navigate to 'Accounts' --> 'As Website Administrator, go to Accounts → Advanced User Maintenance' (/UsersMaintenance.aspx?mode=admin).

  3. Search for the required user.

  4. Select the record via radio button.

  5. Click the 'the Accounts' tab.

  6. Select the required Customer Code via radio button.

  7. Click the 'the Catalogues' tab.
     Click '
  8. Click New'.

  9. Select the required catalogue from the drop-down dropdown list.

  10. Tick the 'the View Only?' flag checkbox if the user requires needs viewing but not ordering access.

  11. Set the dollar value limits if Basic Order Approvals are in use for the catalogue (see Order Approvals for further information):
    • Approval Limit
    • Order Limit
    • Req Limit

  12. Click 'Click OK' to save.
    Custom Catalogue - by User

User catalogue access is configured per Customer Code, allowing a user attached to multiple Customer Codes to access a specific catalogue depending upon the account they are logged in against. 
Therefore, if a user with multiple Customer Codes requires access to a particular catalogue across all accounts, access will need to be configured against each Customer Code the user is attached toAccess for a user is available only when they are in the Customer account. So if a user is linked to multiple Customer accounts but is not in that account when logged into your site, they cannot access it. If you want the user to be able to access that custom catalogue across all Customer accounts they belong to, configure the custom catalogue at the Customer level for all linked Customer Codes and add access for this user.
