Order templates allow users to save the contents of a current order for use as a template for future orders. An order template can then be copied partially, or entirely onto a user's current order at any time in the future. 

Some examples of order templates could be:

  • Products that a user orders on a regular basis;
  • Products that a sales representative orders for a particular customer.

An order template can also be stored at a company level, enabling all users associated with that Customer Code to view and use these templates also.

Order Templates

Step-by-step guides 

To use an Order Template:

  1. Login as a registered user.
  2. Navigate to the 'Order Templates' page (usually located on the 'My Account' or 'Orders' menu). 
  3. A list of previously saved Templates will be displayed.
  4. Click 'View' against the required Order Template.
  5. Click 'Copy Items to Current Order'.
  6. A confirmation message will display advising that items have been added to the cart.
  7. Navigate to the Current Order/Shopping Cart to verify that items have been copied from the Template.

 

 You can adjust the quantities of products in your template before they are copied to your current order.


To Create an Order Template:

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of the template.
  5. Select Create or Save or equivalent.
  6. A message will display that order has been saved.
  7. Navigate to the Order Templates page.
  8. Select View on the Order Template just created.


To Add to an Existing Order Template:

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of an existing template that you wish to append to.
  5. Select Create or Save or equivalent.
  6. Select Append
  7. A message will display that order has been saved.
  8. Navigate to the Order Templates page.
  9. Select View on the Order Template that has been updated.


Overwriting an Order Template:

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of an existing template that you wish to append to.
  5. Select Create or Save or equivalent.
  6. Select Overwrite.
  7. A message will display that order has been saved.
  8. Navigate to the Order Templates page.
  9. Select View on the Order Template that has been overwritten.


To Update an Order Template:

  1. Navigate to the 'Order Templates' page (usually located on the 'My Account' or 'Orders' menu).
  2. Select View on the Order Template you would like to view.
  3. To clear the quantities of all lines, select Clear Quantities from the options at the bottom of the order grid.
  4. To re-sequence the lines on the template, use the drop down selection in the re-sequence column for each line.
  5. Select Save Template Changes to then save the changes to your template.


To Delete an Order Template:

  1. Navigate to the 'Order Templates' page (usually located on the 'My Account' or 'Orders' menu).
  2. Select Delete on the Order Template you would like to delete.

 

Company Templates

 

To use Company Templates some set up is required and there are 2 options when it comes to allowing usage of these templates. Keeping in mind the template will be available to all user's of the same debtor code. The options are:

  1. User has the ability to create, view and use company templates. User can't save changes to a company template. User can only delete a company template if they created it.
    1. Requires setting "Allow Creation of Company Order Templates" set to "Yes" against Customer record.
    2. Requires setting "Allow Creation of Company Order Templates" set to "Yes" against User Customer record.

  2. User has the ability to create, view, use and save changes to company templates. User can delete any company template regardless of who created it.
    1. Requires setting "Allow Creation of Company Order Templates" set to "Yes" against Customer record.
    2. Requires setting "Allow Creation of Company Order Templates" set to "Yes" against User Customer record.
    3. Requires setting "Allow Creation of Company Order Templates" set to "Yes" against User record.


Customer
    1. Navigate to CustomerMaintenance. (CustomerMaintenance.aspx)

    2. Search and select the customer to set up Company Templates for.

    3. Select the Customer Details Tab.

    4. Select Modify.

    5. Update the setting "Allow Creation of Company Order Templates" to "Yes"

User Customer:
    1. Log in as a CSS Administrator or equivalent administration role.
    2. Navigate to Advanced User Maintenance. (UserMaintenance.aspx)
    3. Search for and select the user to be permitted to use Company Templates.
    4. Select the Accounts Tab.
    5. Select the Customer Code.
    6. Select Modify.
    7. Update the setting "Allow Creation of Company Order Templates" to "Yes"


 User
    1. Log in as a CSS Administrator or equivalent administration role.
    2. Navigate to User Maintenance. (zUsers.aspx)
    3. Search for and select the user to be permitted to use Company Templates.
    4. Select Modify.
    5. Update the setting "Allow Creation of Company Order Templates" to "Yes"


"Allow Creation of Company Order Templates" must be set to yes on the Customer and User Customer record as a minimum for the option to save as a company template or view existing company templates will be available.

 

Step-by-step guide

 

Using Company Templates

  1. Navigate to the 'Order Templates' page (usually located on the 'My Account' or 'Orders' menu).
  2. You will see any previously saved Templates.
  3. Company Templates will have "Yes" recorded against them in the "Company Template" column.
  4. Select View on the Company Template you would like to use.
  5. Select Copy Items to Current Order or equivalent.
  6. A message will display that items have been added to your current cart.
  7. Navigate to the cart page to view the items that have copied to your current order.


Creating a Company Template

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of the template.
  5. Check the box marked "Company Template"
  6. Select Create or Save or equivalent.
  7. A message will display that order has been saved.
  8. Navigate to the Order Templates page.
  9. Select View on the Company Template just created.


Viewing a Company Template

  1. Navigate to the 'Order Templates' page (usually located on the 'My Account' or 'Orders' menu).
  2. Company Templates will have "Yes" recorded against them in the "Company Template" column.
  3. Select View on the Company Template you would like to view. 


Adding to a Company Order Template

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of an existing template that you wish to append to.
  5. Check the box marked "Company Template".
  6. Select Append.
  7. A message will display that order has been saved.
  8. Navigate to the Order Templates page.
  9. Select View on the Company Template that has been updated.

Good to Know

  • Stock security is applied to the order templates as per your stock security configuration in your ERP system
  • Product discounts are applied to the order templates as per your custom or special pricing configuration in your ERP system
  • All other product based rules are obeyed when the the template is copied to the current order
